- From Clients: We collect contact details, company information, and the specific documents required for the signing, including Non-Public Personal Information (NPI).
- From Individuals (Signers): We receive documents containing NPI—such as Social Security numbers, financial data, and property details—to provide to the assigned notary for the completion of the transaction.
- From Notary Contractors: We collect contact information, professional credentials, commission details, verification of background checks, E&O insurance, and tax information to verify eligibility for our network.
- Automatically: We collect data regarding how you interact with our website and platform (such as IP addresses and browser types) to ensure security, analytics, and site functionality.
2. How We Use Information
We use the information we collect to:
- Facilitate Signings: Match the appropriate notary with a client's specific assignment.
- Verify Identity: Ensure all parties meet state-mandated identification requirements.
- Process Payments: Facilitate billing for clients and disbursements for our notary partners.
- Maintain Security: Protect against fraud and ensure sensitive documents are only accessed by authorized parties through secure, encrypted platforms.
3. How We Share Information
We do not sell personal information. We share data only as necessary to complete the requested services:
- Between Transaction Parties: We share signer details with the assigned notary and provide the notary's contact information to our clients.
- Service Providers: We share data with trusted third-party platforms (such as scheduling software or payment processors) that assist in our operations.
- Legal Obligations: We may disclose information if required by a court order, subpoena, or to comply with state notary commissioning authorities.
4. Data Security & Retention
We treat the security of your documents with the highest priority. Utilizing the Signing Order Platform’s SOC 2, Type II compliance program, we securely share data and documents between our clients and notaries. Notaries are required to immediately purge any documents downloaded for printing needs, per the Signing Agent Professionals Workgroup’s (SPW) Notary Signing Agent Code of Conduct.
